How to Switch Commercial Cleaning Companies Without a Gap in Service
Most businesses stay with a cleaning company longer than they should because switching feels like a project. There is a contract to check, keys to collect and a risk that the building goes uncleaned for a week.
Looking for a cleaning partner instead of a checklist? See our page on commercial cleaning in Indianapolis.
It does not have to be messy. With a simple plan, you can change vendors with no gap in service. This guide walks through the steps.
Step 1: Read your current agreement
Find three things before you do anything else:
- Notice period. Usually 30 days, sometimes more.
- Term and renewal. Is there a fixed end date or an auto-renewal window?
- Termination fees. Some long contracts charge you for leaving early.
If you are on a month-to-month agreement, this step takes two minutes. If you are locked in, it tells you your earliest clean exit date.
Step 2: Write down what went wrong
Before you talk to new vendors, list the problems with the current one: missed restrooms, trash left behind, a different cleaner every week, slow responses. That list becomes your requirements. If you need help naming the problems, our article on signs it is time to replace your cleaning company covers the usual ones.
Step 3: Get walkthroughs and written scopes
Invite two or three vendors to see the building. A real quote needs a walkthrough. Ask each for a written scope listing every area, task and frequency, not just a monthly price. Then compare them line by line. Our guide to comparing commercial cleaning bids shows how.
During the walkthrough, point out your known problem areas. A good vendor will build them into the scope.
Step 4: Check the paperwork
Before you sign, request:
- A current certificate of insurance, with your landlord listed if required
- Confirmation the company is bonded
- Confirmation that staff are background-checked
See our insurance and bonding guide for what those documents should show.
Step 5: Pick a start date, then give notice
Agree on a start date with the new vendor first. Then give written notice to the current vendor, timed so their last visit lands right before the new vendor's first. Do not give notice until the new agreement is signed.
Step 6: Handle keys, codes and supplies
This is where most handoffs go wrong. Make a short checklist:
- Collect every key, fob and badge from the outgoing vendor
- Change alarm codes, or issue new codes to the new vendor
- Confirm who owns supplies and equipment left in janitor closets
- Note consumables on hand, such as paper towels, tissue, soap and liners
- Tell your building manager or security desk about the change
Step 7: Watch the first two weeks closely
The first two weeks set the standard. Ask your new vendor to:
- Focus the first visits on your problem areas
- Confirm the scope after the first week and adjust anything that does not fit
- Give you one point of contact for questions
Walk the building a few mornings in a row. Our 20-minute inspection checklist makes that quick.
Step 8: Make the work visible
The reason many vendor relationships fail is that nobody can see what was done. Set up documentation from day one. On our accounts, every visit gets a digital check-in logged in our system, and the work is documented in a photo service report sent weekly or monthly. If something is missed, the record shows it, and it gets fixed.
A sample timeline
- Week 1: Review your contract and list your problems
- Week 2: Walkthroughs and written scopes
- Week 3: Compare bids, check paperwork, sign and set a start date
- Weeks 3 to 7: Notice period with the outgoing vendor
- Start date: Keys and codes transferred, first visit focused on problem areas
- First two weeks: Daily checks, scope adjustments

Frequently asked questions
How long does it take to switch cleaning companies?
Most switches take three to seven weeks, mostly driven by the notice period in your current agreement.
Should I tell my current vendor I am getting quotes?
You do not have to. Give notice only after you sign with the new vendor and set a start date.
What if my current vendor holds our keys?
Ask for every key and fob back in writing on their last visit, and change alarm codes right away.
Will the new vendor need a walkthrough?
Yes. A walkthrough is the only way to write an accurate scope and price.
